For Exchange Program
An exchange program is a fantastic opportunity to explore new cultures, enhance your education, and gain international experience. This guide will walk you through the application process, from eligibility requirements to submission tips, helping you prepare for an unforgettable journey.
1. Call for Applications:
The exchange program for both professional clinical exchanges (4th, 5th, and 6th-year students) and research exchanges (open to all years) will be announced in October on PMSA-Nablus Facebook and Instagram accounts.
2. Application Submission and Scoring:
Applicants will submit their applications via a Google form, detailing their achievements as active members of the community within and outside PMSA.
Within PMSA: Points will be awarded for participation in events as a participant or an organizing committee (OC) member, including webinars, on-ground events (e.g., Pink October and other campaigns), and meetings such as LGA, NGA, and EMR.
Outside PMSA: Points can be earned through activities with NGOs (up to 5 activities) and leadership roles (up to 5 activities). Examples include first aid courses, virtual exchanges, Red Crescent volunteering, and conferences, with documentation required (certifications or recommendation letters).
Published research (for SCORE exchanges only) and language certificates are also considered for scoring.
3. Country Selection:
Applicants will be provided a list of available countries for the year and will rank them from highest to lowest priority in the same Google form.
Applicants must check the IFMSA conditions for each country, as each country has its own cancellation policy, fees, and other special remarks. [Attach link]
Language requirements vary by country, with some requiring specific languages and others accepting English proficiency.
4. Points and Prioritization:
After submission, applicants will be ranked based on the points accumulated from their activities.
Country allocation will be determined based on this ranking.
5. Acceptance and Notification:
Applicants accepted into the exchange program will be notified by email, which will include details of their country placement.
They will be asked to approve the contract. If approved, they will fill out an acceptance form, followed by payment instructions for the contract fees to proceed to the next step.
6. The IFMSA Exchange Portal:
Once a contract is received, the applicant will be registered on the IFMSA exchange portal by the LORE. The following steps will be completed in the portal:AF (Application Form): Applicants fill in personal information and select their preferred LC (city) and projects/hospitals in the hosting NMO.
CoD (Card of Documents): Documents include SCORE/SCOPE terms, student records, proof of enrollment, vaccinations, recommendation letters, motivation letters, health insurance, and other necessary forms, such as social media consent. Document requirements differ by country and can be viewed in the CoD section.
After completing the AF and CoD, the applicant will receive the Card of Acceptance (CoA) from the hosting NMO, which includes details of the exchange (city, meals, project/hospital).
Card of Confirmation (CoC): The applicant confirms the exchange details by sending the signed CoC back to the hosting NMO.
7. Timeline:
Application Form (AF) Submission: 12–16 weeks before the exchange.
Card of Acceptance (CoA): Approximately 8 weeks before the exchange.
Card of Confirmation (CoC): Approximately 4 weeks before the exchange.
